A New Digital Uniform
O365 and Guiding in NSW, ACT & NT
At Girl Guides NSW, ACT & NT we showed how serious we were about giving our Members the tools to cope and empower them to continue Guiding activities and connections with the introduction of Microsoft Teams.
Wearing a uniform is a Guiding tradition and gives our members a sense of belonging and pride. It helps to bring people together as an inclusive sisterhood and promote Guiding to others.
Our O365 identities are akin to a digital uniform. Forge a new tradition and proudly brandish your Girl Guides digital identity! Show the world you are part of an inclusive sisterhood. The Girl Guide 0365 digital uniform includes:
Your own firstname.lastname@girlguides-nswactnt.org.au email address for all Girl Guides business and communication.
Access to shared inboxes that may be needed for your role in Guiding.
A reassurance to parents and guardians you’re a part of something big, and official!
A consistent appearance with all your Sisters in Guiding from your email address through to the email signature that will be the same across our whole rganization and display important things like our commitment to reconciliation with an acknowledgement of country; a place for pronouns; our mission statement; and links to our link tree for more information.
Easy access to the email addresses of other members and staff. If you know someone’s name, start typing and our address book will start suggesting.

Your O365 identity is to be used for all Girl Guide activities (just like your uniform!). A Girl Guide activity is one that is held in the name of Girl Guiding at local, Region, State, Australian or international level. However, members may use casual communications when chatting with their friends for some activities (just like a camp shirt!), they just won’t be deemed as official communication and won’t meet our responsibilities in the protection of those under our watch or protect your device from danger in the way that your official O365 access and our digitial policies and procedures will.

O365, or Office 365, is an online-based suite of tools offered by Microsoft to help improve productivity, collaboration, and secure file and document sharing and management across all levels of the organisation.
Because it is cloud-based (online), Girl Guides NSW, ACT & NT Members can access their Girl Guides email account and other Office 365 tools on any device, at any time, from any location simply via a web browser such as Google Chrome and Internet Explorer (Edge). You can even start a spreadsheet, word document or presentation on your mobile from anywhere and continue it from a computer by just logging in! And, because it is cloud-based and a not-for-profit license class, the Girl Guides NSW, ACT & NT O365 account tools like Word, Excel and PowerPoint are only available through an online login, meaning you must use them in a browser window. The good news is that you can use any browser and you don’t have to install a bunch of apps that take up a lot of space on your device. The tools accessible through Office 365 include:

Why Change the Way Volunteers use O365?
Girl Guides NSW, ACT & NT began our roll out of O365 access for individual Members to all Adult Members, giving us a secure and central way of communicating with and supporting our members to access Guiding activities and events from anywhere, on any device, safely and consistently, in the ACT & SE NSW Region. This roll-out includes the issuing of a Girl Guides NSW, ACT & NT email address to all Adult Members, as well as free access to a suite of O65 online tools and applications to support the day-to-day business and operations of Girl Guides. This new address will be unique to each individual Member, with existing inboxes still accessible so you will still be able to access emails sent to the older Unit/District or Office Bearer email address introduced in 2020.
For the security of information about the girls.
Under the Child Safe Child Friendly policy we are required to maintain records for the long term and in a secure way.
With the changing environment of information communication and storage, forms are now emailed around rather than being completed on a paper form and handed to the Leader in the Hall for storing in a cupboard. This means that if you are using a personal email address or even a Unit Gmail address, the information is not stored securely and is not in a place that can be accessed after you leave Guiding. Your Girl Guides email address will always remain the property of Guiding, so any information can be accessed in the future if necessary.
Not cluttering your personal email with Guiding things.
A dedicated Girl Guides email will mean that you don’t have Guiding things filling your personal email box.

Who gets assigned a Girl Guide email?
All adult members 18+
All Leaders and or those who have been assigned an official role within Guiding.
Essentially if you are conducting Girl Guides business over email then you must at all times use an official Girl Guide email.
Think of your Girl Guides email is like your digital key allowing you to log into our Digital Platforms. We can ensure that only authorised people connect.

Girl Guides is a Child Safe Child Friendly (CSCF) organisation and cybersecurity, and child protection is part of every Volunteer and staff member’s responsibilities. As a Youth organisation, Girl Guides has a legal responsibility, and Guide Leaders and Managers have a role and a process to follow, to ensure we deliver a virtual Guides program in an officially recognisable way, in a controlled and safe virtual environment.
This responsibility involves providing a child safe environment and protecting the privacy of Member and Volunteer personal details. This includes personal home addresses and locations and times of meeting with girls face-to-face.
Additionally, it’s important that as a Volunteer, personal devices are not compromised or vulnerable to cyber-attacks.

What Is SharePoint?
SharePoint is web based platform that is used to share information about specific projects, documents or reports with the other members of your Unit, District or Region.
What Is SharePoint Used For?
SharePoint is a leading document management and collaboration tool which is used for internal purposes to assist business operations that include secure document management, collaboration among various departments and much more.
How Does SharePoint Work?
SharePoint helps to manage performance monitoring, configuration management, and the ability to collaborate. It helps to save and store all our GG files that then can be easily accessed from any location and at any time.
How do I sign into SharePoint
You use your FirstName.Lastname email to log into your O365 account. Then select the SharePoint. If you have other role-based emails you will also see these SharePoint sites as well. If not please speak to IT help desk if you can’t view them
